Guidelines for using the Massey name
- Guidelines for research personnel
- Guidelines for clinical personnel
- Rules for “first use” of the Massey name
Guidelines for research personnel
Researchers should include the Massey name on all external materials related to cancer research at Massey. In particular, articles sent to research journals should identify member researchers as part of “Virginia Commonwealth University Massey Cancer Center,” in addition to specific department names.
Example:
Jane Smith, Ph.D., Virginia Commonwealth University Massey Cancer Center and the VCU Department of Biochemistry and Molecular Biology
All cancer-related research posters should be on the Massey poster template. In cases where other VCU schools, departments or institutes also contributed to the research, include their names, too.
Guidelines for clinical personnel
The Massey name should be synonymous with all cancer treatment at VCU. Our goal is to make Massey the oncology brand of choice throughout the region, and we should reinforce that brand name as much as possible.
Although most of our clinical faculty and staff members are employed by the VCU Health System, the trade name we should always present to oncology patients and referring physicians is VCU Massey Cancer Center. Massey name tags, white coat embroidery, correspondence and business cards should all be used by clinical staff.
First use of the Massey name
“Virginia Commonwealth University Massey Cancer Center” is the preferred way to identify our institution on first reference. Subsequent references can be shortened to VCU Massey Cancer Center or Massey.
Stationery
The stationery templates are in VCU-approved format and have the Massey logo. They allow for departments to order online as needed and to customize addresses on letterhead, envelopes, business cards, appointment cards, mailing labels, notepads and note cards. Generic versions of these items are also available.
Visit the convenient VCU online ordering Web site for all stationery needs. To view your choices, enter your e-ID at the prompt and then register your information to continue to the catalog.
Once you’ve made your selection, submit your request through your usual supply-ordering process.
For departments within Massey, the process is to e-mail masseyorders@vcu.edu with your request. Other VCU and VCUHS departments should refer to their standard procedures.
Informal note cards and pocket folders are also available. Please contact anyone in the Massey communications office for more information.

Electronic letterhead
In addition to printed stationery, you may order, free of charge, an electronic stationery template for e-mailing letters and other documents. Contact stationery@vcu.edu and provide the specific department name and address you would like on your electronic letterhead template.
A generic version of electronic letterhead [Word document] is available here. In accordance with VCU’s contract with the printing vendor, e-letterhead is only to be used for documents that are e-mailed. You may not print this in lieu of ordering stationery for hard-copy communications.
Logos
Consistency in an image is important in building a brand. The Massey logo and its elements may not be modified. This includes fonts as well as the scale and proportions of the logo. The logo includes the “burst” element to the left and “Virginia Commonwealth University” underneath.
The vast majority of materials will use our horizontal logo, which is to be displayed on all Web pages, PowerPoint presentations, posters, stationery, etc.
JPG files (for lower-resolution needs, such as Web pages and e-mail)
- Color horizontal logo – jpg format
- Black horizontal logo – jpg format
EPS files (for higher-resolution needs, such as brochures, large-format pieces and promotional items)
- Color horizontal logo – eps format
- Black horizontal logo – eps format
TIF files (for use in Microsoft Office applications; preferred by some designers)
- Color horizontal logo – tif format
- Black horizontal logo – tif format
Round version of logo for special use: A secondary, round logo is also available for use on very select items, including the backs of brochures, invitations and on specialty items such as mugs and hats. Please contact the communications office for approval to use the round logo.
PMS colors
If you are having materials professionally printed for brochures or other uses, please share these PMS colors and the above logo printing standards with your vendor so that we can maintain consistency:
- The gold is PMS 130 for coated paper. For uncoated paper it's PMS 109.
- The four-color process for the gold is Cyan=0, Magenta=27, Yellow=100, Black=0.
- The grey is 50% black.

Lab coats
Lab coats embroidered with the Massey logo are available through the MCV Campus bookstore. The format allows for two lines of text below the logo.
Massey-employed staff may order through Massey’s business office by following these steps.
- View the lab coat catalog [PowerPoint] to select lab coat style and size. (Please note: the options depicted in the catalog are different than what is physically available on site in the VCU bookstore. If you prefer to try on a lab coat prior to ordering, bookstore staff can assist you in ensuring a compatible style is ordered for embroidery.
- Complete and submit the lab coat order form [Word document] to masseyorders@vcu.edu.
Non-Massey VCU or VCUHS employees who work with cancer research or clinical care can request a lab coat with the Massey logo through their normal lab coat purchasing process using the non-Massey employee order form [Word document].
This form enables you to order directly through the bookstore, at either the department’s or the employee’s expense, depending on departmental policy. Please check with your department’s administrator if you’re not sure.
E-mail signatures
Many Massey-related personnel have several titles or work for multiple entities. It’s important to identify Massey if your work is cancer-related. Adding a blank line between affiliations is recommended to help break up lengthy blocks of text. Including the Massey URL (www.massey.vcu.edu) is highly recommended.
Here are instructions on how to change your e-mail signature in Lotus Notes to include verbiage describing your affiliation with the cancer center:
Go to Tools
Click on Preferences
Click on Signatures
